Summary of Position:

The Facilities Support Technician is an entry-level position that plays a vital role in the day-to-day operations of Milton Academy’s facilities department and services to the campus. This position is responsible for 1) providing mailroom support, 2) assisting with moving, deliveries, and event setups across campus, 3) accompanying vendors, trades or grounds crew members to assist with various tasks, and 4) providing various forms of administrative support for facilities services. The technician helps ensure an organized, efficient, and safe environment for students, faculty, staff, and visitors. The individual must understand how to collaborate and communicate well with others, have strong organizational and computer skills, and be able to meet the physical requirements of the position. All training related to the department’s systems and basic maintenance activities will be provided; as such, the successful candidate must have an interest in acquiring new skills, attending training, and taking direction.

Essential Functions and Responsibilities:

Mailroom

  1. Staff the mailroom front desk as needed; greet students, employees, and package delivery employees as they arrive.
  2. Answer the mailroom phone and direct callers as appropriate.
  3. Sort and distribute incoming mail and packages; scan items into the Notifi system and assign them to the appropriate individual and/or department.
  4. Prepare and ship outgoing mail and packages.
  5. Support delivery of mail and packages across campus, as directed.
  6. Operate necessary mailroom equipment and computer programs to complete job responsibilities.
  7. Maintain mailroom cleanliness and organization; inventory mailing supplies and re-order as directed.
  8. Serve as backup to the mail clerk; when needed, pick up mail from the East Milton Post Office.

Central Services

  1. Create signage and other informational items for the campus as directed.
  2. Provide administrative support, as directed, including support for the Facilities Operations and Administrative Specialist, which may include:
  • Distributing keys and access badges to vendors and contractors
  • Monitoring the facility work order system
  • Managing campus vehicle reservations and usage
  • Answering and tracking calls on the facilities main phone line

Trades Support

  1. Complete general maintenance tasks (training will be provided), as directed, either alone or in support of trades maintenances staff.
  2. Escort outside vendor technicians during on-site work to ensure proper coordination and adherence to security protocols.
  3. Perform other duties as assigned.

Grounds and Events Support

  1. Assist with setup and breakdown of furniture, equipment, and materials for meetings, events, athletic functions, and rentals.
  2. Execute small moves and/or deliver items across different parts of campus, as directed.
  3. Support snow removal as part of the school’s essential staff team (must be available to work onsite when school is canceled or opening on a delayed schedule due to inclement weather), including driving vehicles and equipment with snowplows, brushes, blowers, salt/sand spreaders and shovels.
  4. Perform other duties as assigned.

Supervision to be received: Facilities Operations and Administrative Specialist

Supervision to be exercised: None

Education/Licensure/Certification

Required: High School Diploma or GED equivalent

Must possess a valid driver’s license, pass an insurance and driver’s record check annually and be able to drive a vehicle for Milton Academy in accordance with the School’s policies and procedures

Preferred: Associate’s degree, some college, or other certification(s) that demonstrate an interest in learning new skills.

Experience

Required: Previous experience working, volunteering, or serving others in a customer service-oriented manner

Preferred: Previous experience working in a mailroom, delivery, or grounds role

  • Demonstrated ability to use a computer, including proficiency in Google Workspace, Microsoft Office and Adobe Creative Cloud.

Physical Abilities:

Required:

  • Must be able to move around the Milton Academy campus without restriction.
  • Must be able to regularly lift and/or move up to 50 pounds and occasionally lift and/or move more than 100 pounds.
  • Must be capable of pushing carts and using tools or equipment for event set-ups.
  • Must be able to drive to and from the local post office and transport mail and packages to Milton Academy.
  • Must be able to sustain prolonged periods of standing, walking, bending, stooping and reaching.
  • Excellent hand-eye coordination and the ability to use hand tools and other technical instruments in tight or confined spaces.
  • Must be able to work in various indoor and outdoor environments and extreme conditions; must know how to use a snow shovel.

Required: Ability to be flexible and work collaboratively. Ability to prioritize multiple projects and tasks in a fast-paced work environment. Must understand issues of confidentiality. Must be receptive to supervision and professional development.
